Who’s Responsible for Scheduling Your Follow-Up Appointment?

Have you ever had blood work, an MRI, CT scan, X-ray, or other medical testing completed and then found yourself waiting for the phone to ring?

You’re not alone.

One of the biggest misconceptions in healthcare is believing that every doctor’s office will automatically call with your results.

The truth is, many clinics have a different workflow.

After your testing is completed, the next step is often scheduling a follow-up appointment to review the results with your provider.

During that appointment, your healthcare provider can explain:

  • What your test results show.
  • Whether anything has changed.
  • What your treatment options are.
  • Whether additional testing or treatment is needed.
  • What the next steps should be.

Most specialty clinics care for hundreds—even thousands—of patients. Physicians spend their days seeing patients, performing procedures, reviewing test results, answering urgent clinical questions, and coordinating care.

Because of this, they typically do not call every patient after every routine test.

However, if a radiologist or laboratory identifies a critical finding, there are systems in place to notify the ordering provider promptly so the appropriate action can be taken.

As someone who works in a specialty clinic, I can tell you that a tremendous amount of work happens behind the scenes every single day.

While you’re waiting for your follow-up appointment, your healthcare team is often juggling:

• Phone calls that ring nonstop.

• MyChart messages from patients.

• Patients being seen in the clinic.

• Reviewing lab work, imaging, and test results.

• Waiting for providers to complete and sign their office notes.

• Processing referrals.

• Completing After Visit Summaries.

• Scheduling surgeries and procedures.

• Coordinating pre-operative appointments.

• Managing post-operative care.

• Working with insurance companies.

• Responding to urgent patient concerns.

And that’s just part of the day.

Every member of the healthcare team is working hard to keep patient care moving forward.

That doesn’t mean your care isn’t important.

It means there is an entire system working behind the scenes that most patients never see.

Understanding that process can help reduce frustration while also helping you become an active partner in your own healthcare.

Be Your Own Best Advocate

Instead of waiting and wondering, make follow-up part of your healthcare routine.

✔ Complete your testing.

✔ Before you leave, ask if a follow-up appointment should be scheduled.

✔ If one wasn’t scheduled, call the office after your testing is complete to arrange a follow-up appointment.

✔ Write down your questions so you’re ready when you meet with your provider.

✔ If you’re unsure how your clinic handles results, simply ask:
“Should I schedule a follow-up appointment now, or will someone contact me?”

Every healthcare office has its own workflow. Knowing what to expect can save time, reduce anxiety, and help keep your care moving forward.

Being proactive isn’t being impatient.

It’s being an active partner in your healthcare.
